Car buyers often leave the dealership with more than a car loan. Extended warranties, GAP products, prepaid maintenance, tire-and-wheel coverage, appearance protection, key replacement plans, and other finance-and-insurance add-ons can each have separate cancellation instructions, administrators, refund handling, and paperwork.
PostalForm added Vehicle Service Contract Cancellation Packets to make that mail task more concrete. The workflow helps a buyer generate a signed cancellation and refund request packet, attach supporting documents, review the PDF, and mail it with Certified Mail proof.
What the workflow does
The new workflow is built for dealership add-on cancellations where the buyer needs a written record. It collects the details that administrators, dealers, lenders, and insurers typically need to identify the product:
- Buyer name, mailing address, contact details, and signature
- Vehicle year, make, model, VIN, purchase date, and current mileage
- Product type, provider or administrator, contract number, purchase price, selling dealer, and lender if financed
- Cancellation recipient address from the contract, administrator instructions, dealer paperwork, or provider site
- Refund handling preference, follow-up date, and optional notes
- Supporting attachments such as contract pages, buyer paperwork, odometer proof, provider forms, or correspondence
PostalForm then generates a packet with a cover page, cancellation and refund request letter, contract and vehicle summary, exhibit index, sender record page, and appended evidence.
Why Certified Mail
The point of this product is not just producing a letter. It is creating a clear paper trail for a cancellation request that can involve multiple parties.
The workflow requires Certified Mail for the primary administrator mailing. It can also create optional dealer or lender copies when the buyer wants those parties to receive the same packet as separate mailpieces.
That proof trail is useful when a provider later asks when the request was sent, what contract number was referenced, what supporting documents were included, or whether the lender was copied on a financed product.
Built on the same form infrastructure
This release uses PostalForm’s existing guided form and generated-packet infrastructure. The product is represented in the public forms catalog, the machine-readable forms schema, the Forms API draft path, and the machine-order / MPP-style ordering paths.
That means the workflow can be used manually from the browser, but it can also be discovered by agents and submitted through structured inputs with attachment artifacts.
The same preview-before-mailing boundary applies: PostalForm prepares and mails the packet the user reviews. PostalForm does not decide whether a contract is cancelable, calculate the refund, replace administrator-specific forms, provide legal advice, or guarantee a provider, dealer, lender, or insurer response.
